JOB DESCRIPTION

The incumbent reports to the logistics manager. He / she should take responsibility for completing a series of processes and activities requiring some interpretation of standard guidelines / practices for all assistance modalities used both for WFP and for common logistics services,

The incumbent is able to recommend a course of action to colleagues at different levels and can assign tasks to other support staff.

Implement well-defined standard logistics / supply chain procedures and activities to enable efficient delivery of goods and services for all delivery modalities. The Logistics Assistant will support the fund management activities of the Supply Chain Unit and ensure that processes and guidelines are followed.

Language : Proficiency (Level C) of French and intermediate knowledge (Level B) of English

Education : Have completed secondary education (general humanities). A post-secondary certificate or diploma in logistics or other similar field is desirable.

The Logistics Assistant (Funds & Management) will have the following tasks:

1. Provide support for the completion of logistics operations and activities, managing the funds of the Supply Chain Unit to facilitate, directly or indirectly, the efficient delivery of food aid to beneficiaries.

2. Follow the programming of funds, and the display of payment requests in WINGS for each project.

3. Ensure good management of funds, including: commitment of funds, creation of TPO / STO (Stock Transport Order) / OBD / Shipment transactions, creation of SES (Service Enter Sheet) / GRN (Good Received) transactions Note) / POs (Purchase Orders) / FR, payment encoding in WINGS

4. Prepare a follow-up report on funds

5. Prepare and submit to the Finance Unit the planned logistical expenses before the 5th of each month

6. Contribute to the execution of the transport plan by creating TPO, STO, OBD transactions and shipments in the WINGS system

7. Collect and compile data to produce and / or contribute to reports / matrix reports (eg CCTI, SPR, financial close, physical inventory, transport performance) and ensure accuracy of information in company systems in support of informed decision making

8. Contribute to the preparation, monitoring and review of the budget of all implementation modalities, ensuring compliance with relevant procedures and in accordance with institutional standards.

9. If necessary, create machining transactions in the WINGS system.

10. Liaise with a limited number of internal and external stakeholders to support efficient management of logistics operations

11. Provide advice to other support staff to assist them in performing standard tasks in accordance with agreed standards and deadlines.

12. Any other task requested by the supervisor as needed.

At least 4 years of professional experience including 3 in Logistics.
Experience with internal systems used to track ongoing shipments, supplies, claims and food stocks.
Experience in data analysis (on commodities, funds, etc.) and report writing.
Experience in evaluating the results obtained by service providers against defined key performance indicators.
Experience in helping to establish contractual documents.
Experience in providing technical assistance in the use of internal systems
